Just in case anyone out there is still typing out a Table of Contents manually…

If you’ve been applying styles to your MS Word documents, you have the added convenience of generating a Table of Contents (TOC) with a few simple keystrokes:

  1. Open a document that has styles applied to it and create a blank page at the beginning of the document.

  2. Type a heading for the contents page and press the Enter key.

  3. To generate the TOC, from the main menu, select Insert|Reference|Index and Tables…

  4. Click on the Table of Contents tab and change the options as desired

Or just press OK to see the TOC appear before your eyes.

The TOC may be updated a number of ways, but an easy method is to:

  1. Make changes in the actual document.

  2. Return to the TOC, click on it and press F9.

  3. Click OK at the update prompt.

Is there a way to do an automatic table of contents from several different documents? We do training manuals that are several hundred pages in length, so find it much easier to work with 6 or 7 different units, each in its own document. If anyone has some insight, I'd love to hear it.

Thanks.

Yes, you can certainly prepare a TOC from multiple documents using the Master document feature.

1. Ensure that all the documents to be included employ consistent heading styles throughout.

2. Select Outline View in a new, blank document. The Outline toolbar will display the Master document tools.

3. Click on the Insert Subdocument button to insert all desired files into one document.

4. With the document fully expanded, create a new page for the table of contents and generate a TOC as usual.

We have a Word Workshop that covers this and other useul topics, for more information, watch for this offering under Current Courses...
